ATM Maintenance Process

This document outlines the standard step-by-step process for ATM (Automated Teller Machine) maintenance, including troubleshooting, repair, testing, and documentation. It applies to most OKI ATMs and compatible models, ensuring safe, efficient, and compliant maintenance operations.

1. Pre-Maintenance Preparation
  1. Safety Confirmation: Ensure the ATM is powered off and disconnected from the main power supply. Lock the ATM safe and access panels with authorized keys, and place a "Maintenance in Progress" sign to prevent unauthorized access or accidental use.
  2. Tool & Spare Parts Preparation: Gather necessary tools (screwdrivers, multimeter, cable tester, cleaning kit) and compatible spare parts (e.g., card reader, thermal print head, cash cassette) as per the reported fault or maintenance checklist.
  3. Authorization & Documentation: Verify maintenance authorization, review the ATM’s fault log (via the ATM management system or local console), and record the maintenance start time, ATM serial number, and reported issue.
2. Fault Diagnosis & Identification
  1. Fault Log Review: Check the ATM’s internal fault log to identify error codes (e.g., cash jam, card reader failure, communication error) and historical fault records.
  2. Visual Inspection: Conduct a physical inspection of the ATM exterior (keypad, display, card slot, cash dispenser) and interior (cash cassettes, card reader, print unit, wiring) for visible issues (jams, loose connections, physical damage, dust accumulation).
  3. Functional Testing: Power on the ATM (if safe to do so) and perform basic functional tests:
    1. Card reader: Insert a test card to check read/write functionality.
    2. Cash dispenser: Test cash dispensing with a small amount of test notes.
    3. Printer: Print a test receipt to verify print quality.
    4. Communication: Confirm the ATM connects to the bank’s network successfully.
  4. Fault Confirmation: Confirm the root cause of the fault (e.g., mechanical jam, component failure, software glitch) and document the details for repair.
3. Repair & Replacement Operations
3.1 General Repair Guidelines
  • Follow OKI’s official maintenance manual for specific component replacement procedures.
  • Handle all components (especially cash handling modules, card readers, and circuit boards) with care to avoid static damage or physical harm.
  • Ensure all connections (cables, connectors) are secure and properly aligned during reassembly.
3.2 Common Repair Scenarios
  1. Cash Jam Repair:
    1. Open the cash handling module (following safe access procedures) and carefully remove jammed notes without damaging the transport mechanism.
    2. Inspect the note detector, rollers, and guides for wear or debris, and clean them if necessary.
    3. Reinstall the cash cassettes, ensuring they are properly locked and aligned.
  2. Card Reader Replacement:
    1. Disconnect the power and data cables from the existing card reader (e.g., ICT3Q8-3H0180-S for OKI YIHUA models).
    2. Remove the mounting screws and take out the old card reader.
    3. Install the new card reader, reconnect the cables, and secure it with screws.
  3. Print Head Replacement:
    1. Turn off the ATM and open the printer cover.
    2. Disconnect the print head cable, remove the old print head, and install the new one.
    3. Load new receipt paper and test the printer to ensure proper functionality.
  4. Software Troubleshooting:
    1. Restart the ATM to resolve temporary software glitches.
    2. Update the ATM firmware or software via the management system if required.
    3. Reset the ATM to factory settings (only if authorized and after backing up critical data).
4. Post-Repair Testing
  1. Full Functional Test: Power on the ATM and perform comprehensive tests to verify all functions are working correctly:
    1. Card insertion, reading, and ejection.
    2. Cash deposit and withdrawal (using test notes).
    3. Receipt printing and quality check.
    4. Network connectivity and transaction processing (test with a dummy transaction).
    5. Keypad and touch display responsiveness.
  2. Fault Log Verification: Check the ATM’s fault log to ensure no new error codes are generated after repair.
  3. Safety Check: Confirm all access panels are locked, cables are properly routed, and the ATM is safe for public use.
5. Documentation & Completion
  1. Maintenance Record: Document all details of the maintenance, including:
    1. ATM serial number, location, and maintenance date/time.
    2. Reported fault and root cause.
    3. Repair steps taken, components replaced (part numbers, quantities).
    4. Test results and any issues encountered.
  2. Cleanup: Remove maintenance tools, spare parts, and debris from the ATM area. Ensure the ATM exterior is clean and free of dust.
  3. Authorization & Handover: Obtain authorization to put the ATM back into service, remove the "Maintenance in Progress" sign, and confirm the ATM is operational for customer use.
  4. Follow-Up: Schedule a follow-up check (if required) to monitor the ATM’s performance and ensure no recurring issues.
6. Safety & Compliance Notes
  • Only authorized and trained technicians are allowed to perform ATM maintenance.
  • Adhere to local safety regulations and OKI’s maintenance guidelines at all times.
  • Handle cash securely during maintenance and ensure all cash is accounted for before and after repair.
  • Protect customer data by avoiding unauthorized access to the ATM’s internal systems.
